1.Our Stance on Privacy

Our commitment

Node AI aims to provide a great, trusted product and service to our customers. We do plan on using anonymised aggregate data to improve the product for those same customers.

We will never sell our customers' data, identity, or contact information to third parties or vendors — that would be a violation of our promise and trust. Any feature that requires sharing of personally identifiable information will be strictly opt-in.

Node AI Limited is a New Zealand-incorporated company committed to complying with the New Zealand Privacy Act 2020 and its 13 Information Privacy Principles (IPPs), the EU General Data Protection Regulation (GDPR), and other applicable privacy laws in the jurisdictions where we operate. This Privacy Policy describes our privacy practices concerning information collected in connection with the Node AI website at www.nodehq.ai and the Node AI platform. By visiting our Site and/or using the Service, you are agreeing to the terms of this Policy. The Personal and Other Information that we collect about you is controlled by Node AI Limited.

2.Information We Collect

Node AI collects limited Personal Information and Other Information about Site and Service users. Personal Information is information such as a name or email address that Node AI can directly associate with a specific person. Other Information cannot be directly associated with a specific person without additional information. When we combine Other Information with Personal Information, we treat all of the combined information as Personal Information.

2.1 Personal Information

You can visit the Site without submitting any Personal Information. However, if you create an account or sign up for the Service, you will be required to provide Personal Information including name, email address, and company name. Personal Information may be collected through:

  • A. Account & Transaction Information. Name, email address, telephone number, professional details, and other profile information including information from linked integrations and data sources.
  • B. Communications with Us. Email address, phone number, or mailing address when you request information, support, or otherwise communicate with us.
  • C. Surveys. Information you choose to provide when participating in surveys we conduct.
  • D. Interactive Features. Information submitted through collaboration tools, messaging features, forums, blogs, or social media pages.
  • E. Events. Personal Information collected when we attend conferences, trade shows, and other events.
  • F. Business Development. Information collected from individuals and third parties to assess and pursue potential business opportunities.
  • G. Job Applications. Application, CV, and cover letter information submitted in response to job postings.

2.2 Web Log Data

When you use the Site or Service, Node AI may automatically receive information from your computer and browser including IP address, domain name, pages visited, visit date and time, files downloaded, software and hardware attributes, general geographic location, and certain cookie information.

2.3 Cookies

We may use cookies on the Site and/or Service. Cookies are small files stored on your computer by your web browser that allow the Site to recognise whether you have visited before and store user preferences and other information. If you are concerned about having cookies on your computer, you can set your browser to refuse all cookies or to indicate when a cookie is being set. However, if you choose to block or delete cookies, certain features of the Site may not operate correctly.

2.4 Web Beacons

The Site, Service, or emails from Node AI may use web beacons (also known as "clear gifs" or "web bugs") — electronic files that allow an email sender to determine whether a user has opened a particular email.

2.5 Third-party Tracking and Behavioural Advertising

We may partner with third parties to collect, analyse, and use Personal and Other Information described in this section. This information may be used for purposes including online behavioural advertising. We may allow third parties to set cookies or use web beacons on the Site, Service, or in email communications from Node AI.

2.6 Information About Other Individuals

Node AI users may, at times, provide us with Personal Information about other individuals — in particular customers or vendors. For example, a user may upload transactional or commercial records containing Personal Information about the individuals involved in those transactions.

3.Information Use

Node AI uses the information we collect for the following purposes:

  • To respond to your questions or requests concerning the Site, Service, or other services offered by Node AI.
  • To fulfil the terms of any agreement with us, including execution of tech stack intelligence, SaaS buying, and management services.
  • To fulfil your requests for services or otherwise complete a transaction that you initiate.
  • To send information about our Service and other topics likely to be of interest, including newsletters and updates.
  • To answer requests for customer or technical support.
  • To deliver confirmations, account information, notifications, and operational communications.
  • To authenticate and verify our users.
  • To improve your user experience and the quality of our products and services.

  • To process applications if you apply for a job.
  • To manage our business.

If you opt in to receive marketing emails, we may use your information to send promotional communications about Node AI or our partners. You may opt out at any time by emailing [email protected] with "opt out" in the subject line, or by clicking "unsubscribe" in any marketing email.

4.Information Sharing

We share your Personal Information and Other Information with other parties for a limited set of purposes, primarily to help improve our product and service.

4.1 Analytics and Advertising

We partner with third parties to collect Other Information and to engage in analysis, auditing, research, and reporting. The Site and Service may use tools such as Google Analytics, Segment, and Facebook Pixels. You may opt out of the use of cookies.

4.2 Third-party Service Providers

Node AI uses third-party service providers to help manage and improve the Site and Service. These providers may collect and/or use your Personal or Other Information to assist us in achieving the purposes discussed above. They may only use information received in the course of providing services to us for the specific purposes for which such information was disclosed.

4.3 Your Direct Sharing with Third-party Sites

The Site and Service may enable you to share Personal Information with third-party websites or online services. We are not responsible for the content or practices of those websites or services, and their collection and use of your information will be subject to their own privacy policies, not this one.

4.4 Sharing with Other Users of the Service

The Service enables you to share information with other users of the same account. Please ensure when using these features that you do not submit any information you do not want to be seen, collected, or used by other users.

4.5 Third-party Plugins

The Site and Service integrate certain third-party plug-ins (such as social media buttons). Even if you do not click on these plug-ins, they may collect information about you, such as your IP address and the pages that you view. These plugins are governed by the privacy policy of the company providing them.

4.6 Affiliates

We may share your Personal or Other Information with our affiliates for administrative purposes, for them to provide services to you, or to support and supplement the Service we provide.

4.7 Legal Purposes

We may use or share your information with third parties when we believe, in our sole discretion, that doing so is necessary to comply with applicable law, a court order, or other legal process; to investigate, prevent, or take action regarding illegal activities, suspected fraud, or situations involving threats to safety; to establish, protect, or exercise our legal rights; or to facilitate the financing, sale, or other disposal of all or part of our business or assets.

4.8 Aggregated Information

From time to time, Node AI may share anonymised and aggregated information about Site and Service users, such as by publishing a report on trends in usage.

5.Security

Node AI uses commercially reasonable physical, electronic, and procedural safeguards to protect your Personal Information against loss or unauthorised access, use, modification, or deletion. However, no security programme is foolproof, and we cannot guarantee the absolute security of your information. To the fullest extent permitted by applicable law, we do not accept liability for unauthorised disclosure.

By using our Service or providing information to us, you agree that we may communicate with you electronically regarding security, privacy, and administrative issues. If we learn of a security system's breach, we may attempt to notify you by posting a notice on our Service or by sending an email to your most recently provided email address.

6.Your Rights

6.1 Rights under the New Zealand Privacy Act 2020

If you are located in New Zealand, you have the following rights under the Information Privacy Principles (IPPs):

  • Access (IPP 6): You have the right to request access to the Personal Information we hold about you. We will provide this information in a reasonable timeframe and format, subject to any lawful grounds for refusal under the Privacy Act 2020.
  • Correction (IPP 7): You have the right to request correction of any Personal Information we hold about you that is inaccurate, incomplete, or misleading. If we have disclosed incorrect information to a third party, we will take reasonable steps to notify them of the correction.
  • Complaints: If you believe we have breached the Privacy Act 2020 or the IPPs, you have the right to lodge a complaint with the New Zealand Office of the Privacy Commissioner at privacy.org.nz.

6.2 Rights under the GDPR and UK GDPR

If you are located in the European Economic Area, Switzerland, or the United Kingdom, you have the right to access, rectify, erase, restrict processing, port your data, and object to processing of your Personal Information. You may also withdraw consent at any time where we rely on consent to process your information. To make such requests, please send us an email at [email protected].

If you are located in the European Economic Area, Switzerland, or the United Kingdom, you have the right to lodge a complaint with your local supervisory authority if you believe our processing of your Personal Information violates applicable law.

6.3 General

For all users, regardless of location: if you want to learn more about the Personal Information that Node AI has about you, or you would like to update or change that information, please contact us by email at [email protected]. For your protection, we may only implement requests with respect to the information associated with the particular email address you use to send us your request, and we may need to verify your identity before implementing your request. We will attempt to comply with any reasonable requests for accessing, amending, or deleting your information. To delete your Service account subscription please see the Node AI Terms of Service. When information is deleted from the Service it is no longer accessible by you, the user.

7.Cross-Border Disclosure and Data Hosting

Node AI is incorporated in New Zealand and serves customers globally. As a result, your Personal Information may be transferred to, processed, and stored in countries other than the one in which you reside. In accordance with Information Privacy Principle 12 (IPP 12) of the New Zealand Privacy Act 2020, we ensure that any cross-border disclosure of Personal Information is made only to recipients that are subject to comparable privacy protections or where adequate safeguards are in place.

7.1 Primary hosting locations

Our Service infrastructure is hosted in the following regions:

  • Europe West (Belgium, Frankfurt)
  • Australia (Sydney, Melbourne)

7.2 Sub-processors

We use the following sub-processors who may have access to Personal Information in connection with the delivery of our Service:

7.3 Safeguards for cross-border transfers

We rely on the following safeguards when transferring Personal Information outside of New Zealand, the European Economic Area, Switzerland, or the United Kingdom:

  • Contractual protections with each sub-processor, including data processing agreements that impose obligations equivalent to or exceeding those required by the NZ Privacy Act 2020 and GDPR.
  • Where applicable, EU Standard Contractual Clauses (SCCs) or UK International Data Transfer Agreements (IDTAs) approved under the relevant data protection law.
  • Selection of sub-processors located in jurisdictions recognised as providing adequate levels of data protection (e.g., New Zealand holds an EU adequacy decision).
  • Organisational and technical measures, including encryption in transit and at rest, access controls, and regular security assessments.

By using the Site or Service, or by providing any Personal or Other Information to us, you acknowledge and consent to such transfer and processing.

8.Changes to This Privacy Policy

Technology and the Internet are rapidly changing. Node AI is likely to make changes to the Site and Service in the future and will revise this Privacy Policy to reflect those changes. All such changes will be posted on the Site, so you should review this page periodically.

If we make a material change to the Privacy Policy, you will be provided with appropriate notice in accordance with applicable law. If we maintain your email address, we may also email you a copy of the revised Privacy Policy. You will be deemed to have accepted the updated Privacy Policy if you continue to use our Service after the new Privacy Policy takes effect.
